WHAT DOES IT TAKE TO STOP OVERLOADING YOUR DAILY TO-DO LIST?
We’ve all had those days where we write a to-do list, start the day feeling productive… and barely make a dent in it. By the end of the day, we’re left looking at a half-finished list, feeling like we didn’t do enough—even though we’ve been working non-stop.
The problem? Overloading your daily to-do list is actually making you less productive.
The key to real productivity isn’t about squeezing in more—it’s about choosing the right things to focus on so you’re always making meaningful progress.
The common mistake: Doing more instead of doing what matters
A long to-do list can feel like a solid plan for the day, but this is the thing: if everything is a priority, nothing is.
Most business owners fall into the trap of:
Adding too many tasks without factoring in how much time and energy they actually take
Treating all tasks as equally important rather than prioritising what moves them forward
Filling up their schedule with busywork that feels productive but doesn’t actually drive results
This is exactly why so many people work long hours but still feel stuck, they're spending their time on the wrong things.
The shift: Planning your day with intention
To cut your to-do list in half while getting better results, you need to plan with one simple principle: every task should move you toward your bigger goals.
Instead of writing a long, overwhelming list, start with these three steps:
1️⃣ Identify the top 3 tasks that will actually take you a step closer to your most important business goal
2️⃣ Check your available time and energy levels. Be realistic about the things outside of your business that might arise during your day, and leverage your energy level fluctuations over the day.
3️⃣ Spend one minute doing a quick check. Is your daily plan actually achievable?
The one-minute check: Is your plan realistic?
Before you start your workday, run this quick one-minute check to make sure you’re set up for success:
Does every task on my list have a clear purpose? (If not, why is it there?)
Do I have the time and energy to complete what I’ve planned realistically?
If I could only finish ONE thing today, what would it be? (This helps you prioritise)
If your to-do list fails this check, trim it down. Remove, delegate, or reschedule tasks that don’t need to be done today.
The result: Doing less, achieving more
When you plan your day with intention, you’ll:
✅ Get more done in less time because your focus is in the right place
✅ End the day feeling accomplished
✅ Stay consistent with progress towards your bigger goals
This is what real productivity looks like. It’s not about checking off more boxes - it’s about knowing that every task you complete is moving you forward in a meaningful way.
Planning your day should set you up for success, not leave you feeling like you’re constantly behind. When you stop overloading your to-do list and start aligning your daily actions with your bigger goals, you’ll get more done in less time.
The key? Realistic planning, intentional focus, and a system that supports you. Once you start using this approach, you’ll see real progress in your business and end your days with a sense of accomplishment.
